Tracking Portal & Fleet Management

The administration dashboard at tracking.ilockit.bike provides device location tracking, operational history analysis, and token retrieval tools. For registration and account access see Account Setup & Applications.

1. Real-Time Diagnostics Panel

The workspace interface splits into three key diagnostic sub-windows:

  • Locks View (Left): Gives a high-level list of all monitored hardware identifiers, names, and communication statuses.
  • Map View (Right): Pinpoints the latest recorded GPS location markers for all active units.
  • State Window (Bottom Left): Displays raw details including current speed, precise heading, active tracking protocol, connected satellite count, and precise coordinates.

2. Understanding Connection Statuses

The connectivity state of each unit is color-coded across the map markers and listing tables:

Indicator ColorState DefinitionDescription
GreenOnlineThe lock has a live cellular network link and updates telemetry.
YellowUnknownNo tracking telemetry package received for at least 2 minutes.
RedOfflineThe lock has dropped contact with the server architecture for multiple days.
note

A lock in low power mode intentionally stays offline most of the time to save energy — a yellow or red indicator is expected behaviour in this state. See Battery Management and the Portal & Cellular troubleshooting guide.

3. Organizing Your Fleet

Locks are organized in groups (fleets). The group assignment is also used by the Service App to filter the lock list and by the report exports.

4. Reports & Data Export

The Reports control view at the bottom of the layout provides tabular exports for your fleet:

  • Events: Lock/unlock operations, alarms, and status messages of a selected lock and time range.
  • Positions / Routes: Historical GPS data for route analysis.
  • Tokens & Color Code: Credentials for integrating locks into your own software (see below).

:::warning Data Retention Events and position data are only stored for 30 days. If you require long-term storage, export the data regularly or sync it to your own system via the REST API. :::

5. Extracting Integration Tokens & QR Codes

To link locks to your custom software middleware or management ecosystem:

  1. Navigate down to the Reports control view at the bottom layout.
  2. Set the data type query to "Tokens & Color Code".
  3. Choose your designated group.
  4. Click Export to save an Excel spreadsheet containing your integration tokens and QR codes.

The exported QR codes can be scanned with the Service App to connect to a lock without logging in — useful for handing out single-lock access to service staff.

info

The QR code printed on the backside of the lock cannot be used with the Service App. Use only the QR codes exported from the tracking portal.
